FLYING V RANCH FLOOR PLAN GUIDE

There are quite a few moving parts that go into determining your floor plan. Your floor plan also has a huge affect on a lot of aspects of your wedding. This is why it is helpful to look at these various parts as you are planning a wedding, however, you obviously won't be able to know what your final floor plan will need to be until you have your final guest count about a month out until your event.

A huge part of your 30 day meeting (also about a month out from your wedding) will be recommendations and selections of a floor plan for your event. We recommend having as good of an idea of guest count as possible at this point for this purpose.

We have many additional options (beyond a few examples below) we will send you once we have more information from you about what you are desiring in a floor plan, as well as guest count, etc.

  • In the event you want to make tweaks to a provided FVR floor plan, we are happy to work with you on that to create a custom floor plan, however most of the self designed floor plans we receive are not feasible in the space to allow for enough room for tables, chairs and guest egress to various spaces throughout the event

 

Questions to ask yourself when determining a floor plan:

How Many round Tables do I want/ need?

During the larger part of your wedding planning process, we recommend working off of 4/5ths of your invited guests actually attending your wedding. This can obviously fluctuate quite a bit, but it is a good start for planning purposes.

If you have a smaller guest count (around 100 or less), you might want to have more round tables, therefore less guests per table- closer to 8 per round table. Or, your guest count might also work out to where you would rather seat more people per table in order to keep all of your guest tables on the upper level.

If you have a larger guest count (around 200 or more), you will want to seat more guests per table in order to fit everyone properly in the room- closer to 9-10 per round table.

PROS/ CONS OF SEATING LESS PEOPLE PER TABLE (8 guests per round):

  • guests have more elbow space/ breathing room between guests at their table

  • more room on the table to pre-set flatware/ glassware to the sides of chargers, if that is your desired place setting

  • you will need more tables, therefore more centerpieces, which could add to your budget

  • less room to move around in between tables depending on number needed

PROS/ CONS OF SEATING MORE PEOPLE PER TABLE (10 guests per round):

  • more space in between tables for the most part- can provide more room to place a photo-booth or food service tables inside​

  • more people at each table for guests to talk to- more of a crowd can be more fun

  • less elbow room/ breathing space for guests

  • less room for table settings (there is still room to place 10 chargers on a table, but if you also want flatware set on the table, it would need to be tucked under the charger, or placed on top of the charger)

 

How many people am I seating at the Wedding Party Table?

Our farmhouse wedding party table can seat 19 people comfortably at full size with the upholstered couple chairs.

If you would like to seat 20 people comfortably, the upholstered chairs can be removed and replaced with Chiavari chairs to comfortably fit 20.

There are removable leaves in the table, so it can also go all the way down to the size of a sweetheart table for just the couple.

If you would like to seat more at your wedding party table, there are a few ways this can be handled:

  • two tables are often sat very close to this table, and these tables can also be used for the wedding party

  • the two tables can also be moved to physically touch the corners of the farmhouse table to create a horse-shoe shape. About 27 people can be comfortably sat at the tables with this arrangement.

Another frequently asked question about the wedding party table is if can be clothed, especially in the case that you are combining it with clothed round tables for the above mentioned horse-shoe shaped larger wedding party table.

The answer is generally no. This is a painted/ finished piece of furniture that is meant to be used without a tablecloth. The wedding party table is also longer and wider than a standard banquet table, so you would need to layer many cloths in order for the tablecloth to touch the floor. If you do want to add something to this table, we recommend instead renting a table runner (which we can also get in the same colors as our round cloth options from our linen rental company).

 

After you have determined the above questions, to determine how many total round tables you need:

Total number of guests - # at the wedding party table= # of guests who need to be sat at a round table

Total number of guests to be sat at a round table / number of guests you want to sit per round table = # of round tables for the space

 

Other Things To Keep In Mind When Determining Guest Count/ Floor Plan

  • If you are having a band instead of a DJ, you will need a lot more square footage dedicated to this, meaning less possible tables/ guests in the space. Contact hello@flyingvranch.com for samples of floor plans featuring bands if you would like to view some before your 30 day meeting.

  • The Flying V Ranch includes two tables for food service. These can be placed inside the reception space, or under the pavilion.

    • Especially if you need more room inside for more tables, the pavilion is a great option. It also allows for a double sided buffet line, which makes dinner service go much quicker.

    • For most guests, serving inside only allows for a single sided buffet line, however, for smaller guest counts (around 100-120), there is the ability to have a double sided buffet line inside, as well.

    • Depending on the type of food (and smell of the food) that is served, you might be more interested in keeping the food service outside

  • The option to upgrade your guest tables from round clothed tables to long rectangular clothed tables is in the Catalog in your portal. This is a great look in the space, but it does reduce the number of guests that can fit in the space overall. If you are planning on opting into this option, please inquire for floor plan options for rectangular tables in the space.
