What is the rental fee for Flying V Ranch? What do packages include?

FVR features 3 different types of packages.

  • The Estate Package is a more traditional venue package, but also includes fun additional perks, within The House Collection, compared to your standard DFW wedding venue.

  • The Classic Package is an add on package to the Estate Package which gives couples a more inclusive and stress- free experience (a hybrid between an all inclusive and pure DIY wedding).

  • Our All Inclusive package provides a seamless and stress free wedding planning process for our couples. Pricing for a base package provides everything we see most of our all inclusive couples wanting (including premium floral). However, you are not limited to the list of what you see. FVR can customize any aspect of an all inclusive wedding to meet your desires!

What is the building capacity?

Our maximum capacity seated inside with a dance floor is 280.

We have hosted larger events in the past by utilizing adjacent outdoor areas including our front courtyard, covered pavilion, and biergarten. Please inquire for terms, conditions, and implications of events larger than 280 at The Flying V Ranch.

What is your payment schedule like?

FVR requires a 10% deposit and a signed contract to reserve a date on our calendar.

Another 10% payment is due 30 days after booking.

40% of your venue fee is due 8 months out from an event.

And, the final 40% is due 3 months out from an event.

FVR utilizes a convenient and secure online payment portal, so smaller payments can be made along the way at any time and for any amount you desire before the relative due dates.

A $1000 fully refundable security deposit is due one week before the event and is returned within two weeks of the event barring no damages to the venue, linens, etc.

Does FVR require a day of insurance policy?

Like most other venues, Flying V Ranch requires all of our couples to procure day of event insurance for their event date. We have an exclusive insurance provider, Nuptial, that we require by contract because the policies that they provide are more robust than other options on the market. More insurance coverage is most definitely in the interest of our couples just as much as it is in our interest as your venue. Quotes vary based on guest count and some other factors of an event, but coverage for most typical events ranges between $230-$260.

FVR’s dates are all first come, first serve, so we suggest including a backup date you would like to book in the case that your first choice date has already been booked.

FVR welcomes a visit to the ranch before booking a date. Visit our tour page for tour availability and booking. Tours are not required and we do have couples book before touring in order to secure dates sooner!


Do I need to schedule a tour or Can I just drive by to see the venue or outside?

We kindly request that all tours and appointments are by appointment only. When not in use for an event, FVR is a working private cattle ranch and the gates will typically be closed (the venue is not visible from the street). In the case the gates are open, FVR requests only those with appointments access the property.


What is the average overall wedding budget for a couple who is married at fvr?

FVR has a very wide range of package options that vary quite a bit based on season and the day of the week. Based on the current DFW wedding industry, we estimate that most of our couples are spending about $15,000- $30,000 on a typical wedding. We have seen couples get creative to spend less (around $12,000-$15,000) and we have seen weddings here that have spent much more than $30,000. We believe it would be hard to host about 100 or more guests for a typical wedding (including venue, dinner, dress, DJ, photographer, floral, etc.) at FVR for less than $11,000.


will there be another wedding the same day?

No way! FVR only hosts one event per day. Additionally, FVR is one of the only DFW wedding venues who does not host tours on wedding days. We do this out of respect for all of our couples- we want all of our focus to be on you and your event for your big day!


Are there overnight accommodations nearby?

Yes, there are many nice hotels and accommodations that are only about 5 minutes away from FVR!


IS the ranch easily accessible? Or will my guests and I have to do a lot of back road driving to get there?

Although it is nestled behind the LBJ Grasslands and offers incredible 360 degree views, Flying V Ranch is still less than half a mile away from US-287! We are also only one highway exit away from Decatur, featuring many great hotels, and helpful stores such as Starbucks, Lowe’s and Walmart. One of our favorite aspects of Decatur is the Town Square, which features many charming restaurants, shops and bars!


Am I required to use certain vendors? Do I have to deal with food and beverage minimums?

Nope! FVR provides a preferred vendor guide to all couples who have toured our space, but we do not require them to use only those vendors. There are 4 categories of vendors that we do require an approval process for in order to verify they are licensed, insured professionals. The categories are: caterers, DJs/ Bands, Bartenders & Security Guards. FVR very commonly approves non listed vendors in these categories with proper licensing and insurance. FVR is not able to approve both non listed bartenders and a security guard for the same wedding.

Because restaurant catering is often much more affordable to our couples in comparison to a traditional wedding caterer, FVR’s vendor guide features many great restaurant catering options of this type, and they are great opportunities for our couples. However, the biggest gap we see between these two options is event staffing. Due to the formality of a seated dinner at a wedding, in our decade of experience, we see that guests always assume the experience will be similar to that of a restaurant, where plates, flatware, and trash are bussed for them. In order to maintain a level of sanity and atmosphere during your event, FVR requires that there must be some form of professional servers and bussers at weddings until the end of the event. FVR works very closely with all of our couples to arrange this and budget for this early in their planning process if their chosen caterer does not provide this service.


Do you allow dogs to be a part of the wedding?

We love to see you incorporate your dogs in your wedding as an homage to what is important to you as a couple! All dogs must be vaccinated and leashed at all times and a designated handler must clean up after your pets. FVR’s groom’s lounge features concrete flooring, so you are able to crate your dogs during the reception without worry of an accident or the hassle of arranging transportation for them. Only licensed service animals may enter any other indoor spaces of FVR and FVR asks for communication and arrangement for this prior to the wedding in the case of a necessary medical service animal on premises.


How does the bar work?

FVR allows for all of our couples to bring in their own alcohol, which is a huge costs savings for all of our couples! A TABC certified and venue approved bartender must serve all alcohol at Flying V Ranch and a venue approved security guard must be present for the entire time of alcohol service (and until the end of the night including 1 typical tear down hour, for safety purposes). FVR requires for all alcohol to be placed in the bar space by the event hosts before the event, guests cannot BYOB. Shots are not allowed at The Flying V Ranch.


Do you provide table linens, china packages, staffing, etc.?

Linens are included in our Classic & All Inclusive packages and are often added onto our Estate Package by couples looking for many options and the convenience of having all linens set up before their arrival!

FVR keeps our main venue packages within what we see the majority of couples wanting for their events, but we also feature completely optional additional packages including china packages, barware, staffing options, etc. You will never feel like you are at a used car lot with us- we never pressure couples to opt into any of these additional services, they are simply there if you would like them and they are often more competitively priced than outside rental and staffing companies! All couples who tour with FVR will have access to all of our currently available options and pricing.


What happens in case of rain or undesirable weather?

Flying V Ranch has a beautiful covered pavilion that is adjacent to the reception barn. This provides couples the 360 degree views that they desire, while also having more coverage from the elements. As long as this call is made within a few days, FVR is able to set the pavilion with up to 200 Chiavari chairs for no additional cost to our couples. In the case this is set up, but rain is not an issue come ceremony, guests can forego this space and the ceremony site can still be used!
Some events may still prefer a completely enclosed ceremony. FVR can utilize our indoor barn space for a beautiful ceremony. If an indoor reception is also desired, FVR can flip the room very quickly while guests enjoy cocktail hour under the pavilion or in the biergarten. $200 covers the costs of additional staff at your event to facilitate the room flip quickly, as well as draping across the room to hide all guests tables (which can already be set up and ready to go). FVR is also happy to help with last minute preparations for an alter in front of the indoor fireplace mantle with guests watching the ceremony from their tables (no additional charges for this).

 

Will anything at the venue change between the time I book my date and my event?

Most likely, there will be something that changes between the time that you first see the venue during a tour and your event! FVR is constantly striving to upgrade our venue and will always continue to do so through the years. Please rest assured, we always have our couples and their interests in heart with any changes or upgrades we make. Our owner, Page, has a background in interior design, so we like to say you’re in good hands with this!

Additionally, our ranch and outdoor spaces will change quite a bit through the seasons! We host weddings year round, so we maintain our landscaping to be beautiful year round, but the landscaping, grass, pastures, trees, etc. you see in April will not look like that you see in December. For example, as a working cattle ranch, FVR cuts hay for our animals from the pasture land that surrounds the ceremony site (not actually from the immediate venue area). So, for some of the year, large sculptural round bales of hay will be visible from the venue. Other parts of the year the pasture grass will be long, some parts of the year the grass will be short. A lot of what mother nature provides is out of our control, but please feel free to discuss with us more about what you might be able to expect for various times of the year!


What form of payment does Flying V Ranch accept?

FVR’s most standard payment is via an “e-check” ACH payment via our online client portal. Payments are very secure and facilitated by Stripe (and it’s partner company, Plaid). FVR also accepts cash payments, please inquire for logistics for this.

FVR also offers couples the ability to pay via a credit or debit card with the addition of a 3% convenience fee, which only covers the costs of the card transaction. This is completely optional and we see most of our couples pay via e-check in order to waive this fee.


Does FVR allow sparklers, special effects and fireworks?

FVR has designed our front entry with small gravel in order to allow sparkler exits. However, sparklers are not permitted during a burn ban, which is often the case during the summer. Please verify burn ban status with FVR closer to your event.

FVR does permit special effects and fireworks, but all instances must be closely coordinated with and approved by FVR. Vendors must be fully qualified, licensed, and have a large amount of liability insurance. Please inquire for more details!


Can vehicles be left overnight?

Flying V Ranch is passionate about preventing drinking and driving. To help prevent this, FVR does allow for vehicles to be left in our parking lot overnight. If necessary, please make arrangements through your venue manager. The ranch gates will be shut after the event curfew and FVR will coordinate with you on when they will be opened to retrieve left vehicles the next morning. Vehicles must be removed within 18 hours of the event start time. Guests are not permitted to stay in vehicles or campers at FVR overnight.


Are outside snacks and lunches permitted before the event?

Yes, FVR allows for you to bring in outside food for your wedding party before your event.


What is the clean up process like?

We never want to see your family in their formal attire stacking chairs or sweeping floors at the end of a long, joyful (but exhausting) day! FVR always takes care of all of the tables and chairs and has a professional cleaning crew come in between all events. Caterers and/ or staffed bussers are responsible for taking care of the trash relative to food/ bussing and your FVR manager will take care of the rest of the trash during and after the event. We will work with you to designate one wedding representative to help make sure all of our complimentary house collection items are returned at the end of the night. Other than that, you are only responsible for removing anything that you (and/ or your third party vendors who don’t supply tear down) bring into the space on wedding day!


Can we affix anything to your walls, pews, furniture, etc.

FVR encourages vendors and couples to use command strips for anything of this nature. We also ask that you take responsibility for removing said command strips at the end of the event. Nails, screws, or other adhesives, etc. are not permitted to be used for wedding décor, etc.
