  • Pay initial 10% deposit in client portal (link also via welcome email)

  • Fill out Getting To Know You form in client portal

  • Thoroughly read and sign Policies & Procedures subcontract in client portal

  • Make a gust list

  • Pay second 10% venue deposit 1 month after booking (in client portal)

  • Decide on style and formality of your event

  • Choose and invite your bridal party

  • Hire your photographer and/ or videographer

  • Hire your DJ or Band

    • Submit non listed DJ/ band form before booking a band or DJ off FVR’s vendor guide (available on Client Resources site)

  • Hire third party wedding coordinator (if booking FVR’s Estate Package without coordination)

  • Wedding dress shopping

  • Take engagement photos

 

8 Months out

  • Select and book caterer

    • consider staffing inclusions & requirements (see more in Policies in Procedures regarding catering and bussing)

    • Submit non listed caterer form before booking a caterer off of FVR’s vendor guide (available on Client Resources site)

  • Select and book florist

  • Hire officiant

  • Book any desired third party specialty rentals

  • Book any additional ceremony musicians

  • Decide on ceremony time

  • Send out save the dates

  • Build your wedding website & registry

  • Order invitations

    • make your RSVP date at least 1 month before the event!

  • Book your honeymoon

  • Pay 40% venue payment

  • Buy or rent groom’s attire

  • Book hotel block

 

6 months out

  • Schedule wedding shower

  • Send invitations

  • Order wedding cake

  • Select bridal party attire

  • Buy wedding bands

  • Book transportation for guests

  • Book transportation for newlyweds

  • Book all other vendors like bartenders & security (be sure to book at least one from FVR’s vendor guide and to apply for approval for any non listed bartenders or security before booking them)!

  • Brainstorm guest favors and/ or hotel goodie bags

  • Buy wedding party gifts

 

3 Months Out

  • Pay venue 40% venue fee payment in client portal

  • Plan rehearsal dinner

  • Meet with your officiant

  • Tasting with caterer (if offered)

  • Book your rehearsal at FVR

    • rehearsals are included in Classic & All Inclusive Packages and can be added to the Estate Package

  • Hire additional bussing staff if not provided (until the end of the event) in your current catering package

  • Schedule FVR 60 & 30 Day Meetings

  • Make a plan for all tableware and glassware- some of these often fall through the cracks!

    • Dinner plates

    • Dinner flatware

    • Water/ tea glasses

      • if displaying at each place setting, also consider additional disposable cups for the beverage station at cocktail hour!

    • Cake and/ or dessert plates

    • Cake/ dessert flatware

    • Barware for each type served

    • Bar napkins, straws, etc.

  • Order additional décor and accessories, including for your exit activity

 

1-2 Months Before

  • FVR 60 Day Virtual Meeting

  • Dress fitting

  • Finalize floor plan

  • Finalize guest count

    • almost everyone has to call or text many guests who don’t RSVP!

  • FVR 30 Day Meeting (usually virtual)

    • finalize floor plan during this meeting or soon after

    • discuss any desired additional services or rentals from FVR

  • Plan seating chart

  • Hair & makeup trials for the bride

    • schedule bridal portraits for the same day!

  • Send song selections to DJ/ Band

  • Pick up your marriage license

10 days out

  • Submit house collection order form from the catalog on client resources site

  • All venue details are finalized including

    • floor plan

    • guest count

    • additional packages and services

    • house collection selections

    • all venue fees and optional additions are paid for

  • Pack for your honeymoon

  • Gather all wedding accessories and personal decor to bring to the venue

    • label all boxes clearly so others helping you know where things should go

7 days out

  • Venue security deposit paid

  • Prepare envelopes for vendor tips

  • Pack your getting ready bags

  • Gather all details that your photographer will want to shoot

    • A copy of your invitation suite (including any pretty printed envelopes, pretty stamps, etc.)

    • Jewelry

    • Perfume

    • Any special family wedding mementos, etc.

    • Wedding shoes

  • Mani/ pedi & relax!
